This Privacy Policy describes how ThetaFuel (“we,” “us,” or “our”) collects, uses, and shares information when you use our websites, apps, and related services (the “Services”), including scheduling, coaching tools, and optional Google Calendar or Gmail connections.

1. Information we collect

Depending on how you use the Services, we may collect:

• Account and profile information — such as your name, login code, email address (when provided), role, and organization membership.
• Scheduling and booking data — availability, appointments, titles, notes, and related timestamps.
• Usage and technical data — device/browser information, IP address, and logs needed to operate and secure the Services.
• Connected Google account data — if an administrator connects Google Calendar or Gmail for a user, we store OAuth tokens and related connection metadata so those integrations can stay active. We may access calendar events or email only as needed to provide the features you (or your organization) enable.

2. How we use information

We use information to:

• Provide, maintain, and improve the Services
• Authenticate users and manage sessions
• Create and manage bookings and reminders
• Sync bookings to a connected Google Calendar and send related Google invites/reminders when that feature is enabled
• Communicate about the Services and respond to support requests
• Protect against abuse, fraud, and security incidents
• Comply with legal obligations

3. How we share information

We do not sell your personal information. We may share information with:

• Service providers that help us host, operate, or support the Services under contractual confidentiality obligations
• Google when you or your organization connect Google Calendar or Gmail — subject to Google’s terms and your Google account settings
• Other users in your organization as needed for coaching, scheduling, and administration
• Authorities or other parties when required by law or to protect rights and safety

4. Data retention

We retain information for as long as needed to provide the Services, fulfill the purposes described in this policy, comply with legal requirements, resolve disputes, and enforce our agreements. Connected Google tokens are retained while the connection remains active and may be cleared when an administrator disconnects the integration.

5. Security

We use reasonable administrative, technical, and organizational measures designed to protect information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

6. Your choices and rights

Depending on your location, you may have rights to access, correct, delete, or restrict certain personal information. You can ask your organization administrator for help with account changes, or contact us using the details below. You may disconnect Google integrations from the ThetaFuel admin experience where available, or revoke access in your Google Account permissions.

7. Children’s privacy

The Services are not directed to children under 13 (or the equivalent minimum age in your jurisdiction). We do not knowingly collect personal information from children without appropriate authorization.

8. International transfers

We may process information in the United States and other countries where we or our providers operate. Those locations may have different data-protection laws than your home country.

9. Changes to this policy

We may update this Privacy Policy from time to time. We will post the updated version on this page and revise the “Last updated” date. Continued use of the Services after changes become effective constitutes acceptance of the updated policy.
